‘Kelem International School (KIS) is a pre-KG to Grade 10 school that was originally established under the Swedish Embassy in Addis Ababa, Ethiopia in 1946. The school has been redefined as an independent not-for-profit school since July 1st, 2019.

We are currently seeking a STORES and ADMIN OFFICER (Temporary - Maternity Cover) for the current academic year 2022-23.

Kelem International School follows the Finnish curriculum blended with international standards for G1-10 and International Early Years Curriculum (IEYC) for KG.  We are a fully accredited international School by Cognia Global Commission.

 Job Summary

The STORES and ADMIN OFFICER oversees the planning and coordinating of administrative procedures, systems and devising ways to streamline processes. And a responsibility in maintaining inventories, ordering new items, placing products on shelves, pulling our expired items, keeping records of transferred merchandise, and keeping stores policies and procedures updated.

Key roles & responsibilities:

  • Attend meetings, workshops, and seminars (staff meetings) for the purpose of recording the minutes, coordinating material distribution and/or support the needs of other attendees. 
  • Maintain documents, office files and records for compliance with local, state and federal government requirements. 
  • Assist in compiling data from a variety of sources. 
  • Prepare written materials i.e., reports, minutes, memos, letter, etc. and documents.
  • Respond to a wide variety of calls, concerns and/or complaints to resolve problems, provide information and/or refer to appropriate personnel. 
  • Support the principals, team leaders and FSCSPCO Board of Directors and the PTSA executive Board. 
  • Support other personnel in the completion of their work activities. 
  • Act as the school’s primary point of contact for all external entities. 
  • Assist the HR Manager on documentation, communications & correspondences of the school.
  • Attend all incoming phone calls and correspondences, ensuring that they are followed up with by the appropriate individuals.
  • Acts as a point person for visitors to the school to coordinate their visit, assisting them with finding the appropriate offices and paperwork.

Stores Related Duties

  • Control & manage the school’s stores & resource rooms and be the focal person for stores management.
  • Distribute school materials to different departments and keep the stores record balances.
  • Maintain up to date store records and report to the management in a timely manner.
  • Participate in the annual physical inventory of fixed assets and consumable materials.

Other duties

  • Work closely with the School’s Kitchen staff especially with the F & B Manager; and the primary duty is the continued efficiency of the kitchen and consistent production & supply quality food.
  • Work closely with school the nurse for annual staff vaccinations.
  • Work closely with the cleaning staff for smooth handling of school compound cleanness and safety.
  • Perform any other administrative tasks as directed by the immediate supervisor. 

Reports to: Finance & Operations Manager

Coordinates with:  Admin Personnel, HR Manager, Principal, Vice Principal, Team Leaders, Teachers, Admissions Officer, Learning Support

Working Hours: Monday - Thursday (7:30 am - 4:00 pm) and Fridays (from 7:30 am - 3:30 pm). 

 

Job Requirements

Education:

  • BSc/MSc in Office Administration and other related fields.

Experience:

  • Minimum 5 years of relevant experience
